IQ Talent Solutions are delighted to be working with one of our key clients supporting with the recruitment of a PA to support a range of senior staff and Directors across their Group Legal division

The role will be supporting multiple senior staff across Group Legal and Tax and will suit candidates who have previously worked in a similar role, providing PA support to multiple senior staff

Duties & Responsibilities

* Extensive diary management for multiple staff
* Making travel arrangements and compiling itineraries including project management, venue arrangements, catering, accommodation and transport
* Utilising a range of software and systems including Microsoft Office and PowerPoint for document and presentation creation
* Organising meetings, meeting rooms and ensuring required logistics are in place (technology, refreshments, etc)
* Inbox and calendar management for more than one person
* General administrative duties including cash and credit card expenses
* Document management/control; e.g. experience working with contractual documents
* Scanning, photocopying and filing contract documents
* Managing signature process for contracts, liaising with international sales people and couriering contracts to customers/ suppliers

Skills & Experience

* Candidates will ideally come from a similar background with at least two years' experience working in a PA or similar role, providing support to multiple stakeholders
* You will be able to demonstrate a high degree of accuracy for work on high level documents; communications (grammar and spelling); diary scheduling.
* Ideal candidates will be able to multi-task and prioritise with ease, whilst handling new challenges and every day interruptions
* You will be able to resolve issues without reference to the Team, and knowing when to escalate
* Trust is integral to the role due to daily exposure to sensitive and confidential commercial, financial and legal information and candidates will ideally be able to demonstrate this through similar experience
* Cultural sensitivity and ability to communicate with stakeholders from other locations whose native language is not English would be a real advantage, as would any additional language skills
* Candidates will be flexible in their approach able to work with stakeholders and colleagues at all levels and will be enthusiastic to undertake new tasks where needed
