IQ Talent Solutions are delighted to be working with one of our key financial services clients, a specialist in asset management, supporting with the recruitment of a Personal Assistant on a fixed term basis to join their Global Security team

This role will see the successful candidate providing efficient, effective PA support, managing the day-to-day needs of senior leadership of the Global Security Division in the EMEA region

Duties & Responsibilities
• Diary management; Prioritising, organising and declining meetings as appropriate
• Assist with drafting and distribution of internal communications
• Booking international travel, hotel accommodation and ground transportation
• Manage schedules and organise/arrange meetings, conferences, workshops, training, events, and off-sites, including:
• Planning agendas, coordinating attendees, setting up conference calls, recording and distributing minutes and actions,
• Organisation of rooms participants, facilities, refreshments, and travel arrangements where necessary and dealing with visitors courteously and efficiently
• Contribute to the analysis and presentation of internal management information, such as monthly dashboards and key metrics
• Collate and index reporting and research (e.g. on trends in the threat environment or benchmarking against peers)
• Assist in the tracking, communications and coordination of major projects/initiatives
• Coordinating and liaising with other PA staff globally as required to support global activities
• Managing inbox – deleting meeting invitations, acceptances, and junk email. Ensuring any urgent emails are actioned
• Dealing with phone calls and providing a first line response to queries including filtering those that do not need to be dealt with by EMEA Senior lead
• Produce documents, including letters, department and board/executive meeting presentations and spreadsheets to support of EMEA Senior Leadership as appropriate
• Collating and submitting of expense reports or behalf of EMEA Senior Leadership

Skills & Experience
• Ideal candidates will have substantial experience working as a PA, ideally within the Financial Services Industry
• Previous experience of working for an international company and/or across different time-zones would be a distinct advantage
• Candidates will have excellent diary management skills, be able to confidently take minutes at meetings and be proficient in the use of PC software including MS office suite, Outlook and any other packages as required
• Candidates will preferably be educated to a good standard of both English and Maths and be able to work autonomously with the ability to handle sensitive information and maintain confidentiality
