Interquest Solutions are recruiting on behalf of one of their highly acclaimed retail clients for an Executive Assistant to work with 2 Directors in Marketing on a 6 week basis.

Duties:
• Taking accountability for diary management, able to confidently and independently prioritise Director’s time
• Managing frequent queries from internal and external stakeholders, across various channels including on the phone, face to face and via email and responding to all in a calm and responsive manner
• Screening phone calls, enquiries and requests, and handling them when appropriate
• Proactively solves problems, planning ahead to manage and mitigate risks and issues
• Arranging Travel booking - trains, flights, hotels, preparation of itineraries
• Maintains contact details for Business continuity planning
• Ordering Stationery for the team(s) I support
• Confident in pulling together information and formatting it into professional presentation packs using Word, Excel and PowerPoint
• Owning the Time & Attendance tracking system for Executive Director
• Preparing for meetings, including agendas, taking minutes and ordering refreshments when required
• Ensuring the Executive Director is well prepared for all meetings with the relevant information at hand
• Overseeing the email inbox of the Executive Director
• First point of contact for internal and external visitors
• The ability to research, digest, analyse and present material clearly and concisely
• Demonstrates the Debenhams behaviours in all activities
• Follow our Business Code of Conduct and always act with integrity and due diligence

Skills & Experience:
• Experience working in Retail environment as a PA/EA is essential
• Experience working with Director Levels 1:1, 1:2 or 1:3
• Organisational and time management skills
• Stakeholder and relationship management
• Prioritisation and planning
• Communication skills
• Discretion and confidentiality
• Excellent word processing and IT skills, including knowledge of a range of software packages
