Assistant Property Manager

The Assistant Property Manager performs essential accounting and reporting duties and supports the Data Centre Manager and Regional Property Operations Manager in planning, budgeting, and control of operating and capital expenditures. Primary responsibilities include budgeting and forecasting expenses, accounts payable, billing and collections, lease administration and some tenant relations.

The Role:

To excel in this role, you’ll need to have an outstanding ability to work under pressure and shift priorities quickly, depending on the current needs of the business. This is a fast-paced environment where you may be called upon to produce a report or work on a new task with a tight deadline, but we’re looking for a professional who excels in this type of environment, and takes pride in their abilities to work under pressure and multi-task.

Additionally, in order to be an outstanding Assistant Property Manager, you will be a team player, and have an easygoing and adaptable personality. We have a close-knit team at our office, so we’re really looking for someone who can come in, and seamlessly become a part of our group right off the bat. Administration

• The Assistant Property Manager will be the point of reference for the sites with technical problems and coordinate with outside vendors as required regarding phone, computer, and/or copier services.
• Maintain Office Calendar and Meeting Rooms Calendar
• Organise and maintain a property filing system including inventory reports, incident reports, contracts, purchase orders and invoice plus other critical documentation on location and on SharePoint and I Drive.
• Work closely with other building staff on all customer-impacting work to ensure streamlined communication and excellent customer service.
• Complete monthly walk around of sites and prepare inspection report.
• Track and work with the Site Teams to action any items raised from inspection reports.

Financial Management

• The Assistant Property Manager will prepare the annual budget and quarterly reforecast files, operating expenses and capital expenses of each property.
• Prepare the monthly Asset Management and Variance Reports for each of your sites.
• Tracking of Capital Budget and ensuring adherence to company Financial Authority Policy.
• Maintain cost-effective and efficient operations of the building.
• Complete ad-hoc reports as required by the Portfolio Management team and Data Centre Operations team
• Issue and track purchase orders and service contracts; implement the company’s PO procedures.
• Liaise with vendors and accounting on any payment issues.
• Assist with regular billing of all Customers – Rent, CAM, Service Charges, Utilities, Insurance, Taxes & other Rechargeables
